Privacy Policy

1. Who this policy covers
This Privacy Policy explains how GRID Sports LLC (“GRID,” “we,” “us,” or “our”) collects, uses, shares, and protects personal information when players, parents or guardians, coaches, and administrators use the GRID soccer video coaching service. GRID Sports LLC is responsible for the personal information described here. Contact us at support@grid-sports.com.
2. Information we collect
- Account and contact information: email address, name, phone number, role, account status, authentication and security records, and communication preferences.
- Player and coach profiles: date of birth, age group, club, league, position, goals, focus areas, biography, photos, social links, coaching experience, credentials, certifications, and availability.
- Video and coaching content: submitted match or training footage, filenames and technical metadata, player notes, coach feedback, annotations, recordings, ratings, and workflow history.
- Billing information: Stripe customer and subscription identifiers, plan, price, subscription status, invoice details, payment status, tax and billing-location information, and checkout history. Stripe receives and stores complete payment-card details; GRID does not.
- Coach compensation and payout information: commission and referral attribution, earning statements, ledger adjustments, payout requests and status, external payment references, and PayPal or US bank-transfer details supplied by a coach. GRID encrypts full payout-destination details and ordinarily displays only masked values.
- Technical and usage information: IP address, browser and device information, session and security events, page or feature activity, timestamps, error records, and audit logs.
- Support and communications: messages sent to GRID, communication preferences and consent history, email delivery, bounce, complaint and suppression status, administrative notes, and records of account or billing assistance. GRID does not use tracking pixels or rewritten links to collect email opens or clicks.
3. How we use information
We use personal information to create and secure accounts; provide private Lockers, uploads, coaching, feedback, goals, and notifications; assign authorized coaches; attribute referrals and calculate coach compensation; review and manually process coach payout requests; process player subscriptions and taxes; provide customer support; prevent fraud and misuse; troubleshoot and improve reliability; enforce our terms; comply with law; and maintain billing, accounting, security, and operational records.
Where a law requires a legal basis, we process information as needed to perform our agreement, comply with legal obligations, protect legitimate interests in operating and securing GRID, and, where required, based on consent. You may withdraw consent where processing depends on consent, without affecting earlier lawful processing.
4. How information is shared
We share information only as needed for the service:
- Assigned coaches receive access to the players, videos, and development information necessary to provide authorized feedback.
- A referring coach may see a limited referral summary such as player display name, signup date, subscription status, residual progress, and assignment-review status. Referral attribution alone does not give a coach access to a player’s contact information, Locker, video, or feedback.
- Authorized GRID administrators and support personnel access information for operations, safety, billing, and support.
- Authorized payout personnel use coach-supplied payout details only to initiate and reconcile an approved external PayPal or bank payment. Those external financial providers process the information under their own terms and privacy practices.
- Service providers process information for payment and tax services (Stripe), application hosting and databases, private media storage and video streaming, email delivery, monitoring, and security.
- We may disclose information when required by law or reasonably necessary to protect users, GRID, or others, investigate misuse, or respond to a valid legal process.
- Information may transfer as part of a merger, financing, acquisition, reorganization, or sale of assets, subject to appropriate confidentiality and notice requirements.
We do not sell personal information for money and do not use player video or profile information for third-party targeted advertising.
5. Cookies and similar technology
GRID uses essential cookies and comparable browser storage to keep users signed in, protect forms against forgery, remember necessary session state, and secure the service. These technologies are necessary for the service to function. GRID does not currently operate third-party advertising cookies.
6. Retention
We keep personal information while an account is active and as reasonably needed to provide the service, preserve player and coaching history, resolve disputes, secure the platform, meet tax and accounting duties, and enforce agreements. Billing, referral attribution, coach earning/payout, and audit records may be retained after account closure where legally or operationally required. Email delivery context is removed after 7 days and recipient-level delivery metadata is removed after 90 days; communication preference and consent history is retained while the account exists and for up to two years afterward. Active delivery suppressions remain until resolved. Replacing a payout method archives the prior protected version where it remains necessary to explain a historical payout.
When a player moves a video to Deleted Videos, GRID schedules it for permanent deletion after the recovery period shown in the product, currently 30 days. Some information may remain temporarily in encrypted backups or provider systems until ordinary backup and deletion cycles complete. You may contact us to request account or data deletion; we will explain any information that must be retained.
7. Security
We use administrative, technical, and organizational safeguards designed to protect personal information, including role-based access, private or signed media access, encrypted network connections, password protections, Stripe-hosted player payment collection, application encryption and masked display for coach payout destinations, password-confirmed administrative reveal, webhook verification, and operational audit records. No internet service can guarantee absolute security. Contact us promptly if you believe an account or personal information has been compromised.
8. Children and youth players
GRID accounts must be created and managed by an adult account holder. A parent or legal guardian must authorize use for a minor player and the collection and use of that player’s information and video. Children under 13 may not independently create or manage a GRID account or submit personal information to GRID.
If you believe GRID received personal information directly from a child under 13 without appropriate parental authorization, contact us immediately. We will investigate and take appropriate steps, which may include restricting the account and deleting the information. Parents and guardians may contact us to review, correct, or request deletion of their child’s information.
9. Your privacy choices and rights
You can review and update much of your profile information inside GRID. Players and coaches can disable optional coaching, reminder, onboarding, referral, and future marketing email topics in Communication Preferences. Essential security, account-access, billing, legal, and payout-service messages remain enabled because they are necessary to operate and protect the account. Players can manage billing information through Stripe’s Customer Portal, and coaches can replace or archive their payout destination through their GRID account. Depending on where you live, you may have rights to access, correct, delete, restrict, or receive a copy of personal information, object to certain processing, withdraw consent, or appeal a privacy decision. You may also have the right to complain to your local privacy regulator.
To make a privacy request, email support@grid-sports.com from the address associated with the account. We may verify identity and authority before completing a request. Authorized parents or guardians may submit requests concerning a minor player.
10. International processing
GRID and its service providers may process information in the United States and other countries. When required, we use appropriate contractual or legal safeguards for international transfers. The privacy laws of those locations may differ from those where you live.
11. Policy changes and contact
We may update this policy as GRID, our providers, or applicable requirements change. We will post the revised effective date and provide additional notice when required.
